What this notice covers
This notice explains how we handle website enquiries made by email or telephone, and any retained enquiries submitted through our former website contact form.
Information needed for a learner’s referral, placement, counselling or ongoing support is covered by the relevant additional privacy information.
What we collect
When you email or telephone us, we receive the contact details and information you choose to provide, together with any correspondence that follows. We may keep relevant written notes of telephone enquiries.
The website’s email links open your chosen email application. Our current Contact page does not collect enquiries through an online form.
Please keep initial enquiries brief and avoid sending detailed medical information or confidential learner records. We can arrange an appropriate way to share further information securely.
For safeguarding concerns, please follow the reporting instructions on our Contact page. Do not wait for an email reply if someone may be at risk.
Why we use your information
We use enquiry information to answer questions, discuss availability and suitability, arrange visits and consider possible support.
For ordinary enquiries, we rely on legitimate interests: responding to people who contact us and managing enquiries about our services. Where processing is necessary to take steps you request before entering a contract with us, we may instead rely on that contractual basis.
Providing enquiry information is voluntary, but we need sufficient contact details and information to respond.
Who handles your information
Enquiry emails are received at martha@creapax.com. Authorised staff may receive relevant information where necessary to help answer your enquiry or arrange support.
Our website uses SiteGround and Weebly, and our email uses Google Workspace. These services process information as part of providing website hosting and email services.
Our service providers may process personal information outside the UK. Google Workspace’s processing is governed by its Cloud Data Processing Addendum. SiteGround’s Data Processing Agreement includes an International Data Transfer Agreement for relevant transfers of UK personal information.
Enquiries previously submitted through our former website contact form may also remain in the provider’s form-entry records. Removing the form does not itself delete earlier submissions. We are seeking clarification from the provider about historical form storage, international transfer arrangements and permanent deletion.
You can contact Martha using the details above for further information about these arrangements.
Where necessary and lawful, relevant information may also be shared with safeguarding authorities, regulators or professional advisers.
How long we keep it
Ordinary enquiries that do not lead to a placement or service are deleted 12 months after our last contact. This retention period applies to enquiry emails, written enquiry notes and any saved submissions from the former contact form.
We are checking the provider’s arrangements for deleting historical form submissions and any remaining copies.
If information becomes part of a placement, safeguarding concern, complaint or another record requiring separate retention, the relevant retention rules apply instead.
Your rights
Depending on the circumstances and the lawful basis used, you may ask to access your personal information, correct inaccurate information, have information deleted, restrict its use or receive it in a portable format.
You can also object to processing based on legitimate interests. These rights are subject to applicable conditions and exceptions.
Please contact Martha using the details above to make a request.
Concerns and complaints
Please contact us if you have concerns about how we use your information so that we can investigate and respond.
You also have the right to complain to the Information Commissioner’s Office:
https://ico.org.uk/make-a-complaint/
Changes to this notice
We will update this notice when our website or information-handling arrangements change.
